A plan also needs vehicles and the depots they leave from. Both live on their own pages in the left menu, and the optimizer plans only with the vehicles listed in Fleet.

A depot is any address a route may start or end at: a warehouse, a store, a kitchen, your office. Open Depots and press + New depot. The editor asks for:

  • ID and Address, like an order.
  • Handling time: how long loading takes per visit. It is added every time a vehicle is at the depot, including mid-route reloads.
  • Open from / Open to: the depot's working hours. Routes cannot load outside them.

A plan can hold any number of depots; each vehicle picks its own. See Multiple depots, open routes, and reloads.

Open Fleet and press + Add new.

The fields at the top:

  • ID: the name that appears on route cards and in exports.
  • Capacity: the load it can carry, in whatever unit your orders use. See Capacity, deliveries, and pickups.
  • Available count: one row can stand for a whole pool of identical vehicles. Five interchangeable vans are one row with a count of 5, not five rows. The optimizer uses as many as it needs, and unused ones cost nothing.

Then three groups:

  • Depots: Start Depot and Finish Depot, plus reload settings. Leave the finish depot empty and routes end at their last order instead of returning.

  • Cost: fixed, per km or mile, per hour, per stop, and overtime. See Vehicle costs and the COST metric.

  • Limits: shift hours, latest start, and the Pro route limits.

Press Save vehicle and the row appears in the list with its capacity, availability, cost summary, and limits:

Minimum setupCopy link

A plan runs with one depot with its address, and one vehicle with a capacity and a shift. Every other field defaults to no limit. The remaining fields cover specific cases: costs when you want the optimizer to prefer fewer vehicles, limits when routes come out longer than a legal day, tags when only some vehicles can serve some orders.

Import and reuseCopy link

Like orders, vehicles and depots import from a spreadsheet (More > Import from Excel, sheets Vehicles and Depots; the column reference lists every field) or copy from a saved plan (More > Import from another plan). To run the same fleet daily, keep one plan as a template and use My Plans > Copy vehicles to start each day.
